Are you using Paperbox to speed up your workflow, but can’t find a specific claim or policy that is visible in Brio? This is likely due to the smart filters we use to keep your environment clean and relevant.
In this article, we explain which data we retrieve from Brio and why certain items are filtered out.
How the integration works
Paperbox creates smart links between different data points from Brio. To ensure data integrity, we verify these connections:
Claim ↔️ Policy
Claim ↔️ Policyholder
Claim ↔️ Risk Objects
Policy ↔️ Policyholder
Policy ↔️ Risk Objects
Important: If an essential part of this link is missing (for example, because it has been archived in Brio), Paperbox will not display the file. This prevents you from working on files with incomplete or broken information.
What do we NOT retrieve?
To keep Paperbox performing optimally, we exclude data marked as "inactive" in Brio. The following items are not synchronized:
Archived data: Both archived policyholders and archived risk objects are ignored.
Old policies: Policies with the status 'Old' (Oud) remain in Brio and are not imported.
Closed claims: Claims that are closed for both the broker and the insurance company are not shown.
Example: If you have an active claim, but the associated policyholder is archived in Brio, Paperbox will filter this file out to avoid incorrect data mapping.
What about Prospects?
We have been retrieving prospects from Brio since mid-September 2025.
New prospects: Are automatically synchronized.
Historical prospects: Any prospects created before mid-September are not available in Paperbox by default.
Do you urgently need access to older prospect data? Please contact our Customer Success team to discuss the options for a full 'GetAll' synchronization.

I updated a file in Brio, but it’s not showing in Paperbox yet. Synchronization happens periodically via the Brio API. While most changes appear quickly, please check if the file meets any of the "inactive" criteria mentioned above.
Why is this data filtered? By excluding old or archived data, we ensure Paperbox remains lightning-fast and your search results are not cluttered with outdated information.
