To connect your Paperbox environment to Brio via Portima, a few key steps are required. This guide walks you through:
Requesting the integration credentials
Creating a Service ID in Brio
Finalizing the onboarding flow
Requesting the Integration information
Before you can activate the integration between Paperbox and Brio, you need to request the necessary credentials via MyPortima.
You can follow these steps:
Fill out the MyPortima request form to initiate the integration setup.
After submission, Brio/Portima will:
Send you an email with your PI2 API key.
Send a text message (SMS) to the phone number you provided in the form.
Use the code in the SMS to unzip or open the encrypted folder from the email. Inside, you'll find the credentials required by Paperbox to connect to your Brio environment.
Creating a Service ID in Brio
While waiting for the API credentials—or if you already have them—you can proceed to set up a Service ID.
Why is this needed?
Brio requires a Service ID to be specified if a dossier (claim, contact, or policy) does not have an assigned handler or owner. In such cases, Paperbox must send a fallback Service ID when pushing the document into Brio.
If you do not use services today in Brio, you will need to create at least one in order for Paperbox to work properly. Without it, emails with no assigned handler will result in Brio errors.
When is the Service ID used?
If all dossiers have a handler: The Service ID is not used.
If some dossiers do not have a handler: Paperbox will automatically assign the document to the specified Service ID.
Completing the Onboarding Flow
Once your credentials are ready, you can complete the setup directly in the Paperbox interface.
Steps:
Log in to Paperbox
Navigate to your account. The onboarding flow will appear automatically.
Step 1: Choose your integration
Select Portima Brio as your integration method.
Step 2: Extract and enter your credentials
Open the.txt
file included in the zipped folder you received from Brio. This file contains a long PI2 key string, but focus on the part that looks like this:

You’ll need to extract the following values:
Office ID: This is the first number in the string (e.g.,
1234
in the example above). It appears twice in the key, before and after the wordboa
.
Suboffice ID: This is the part that comes after the second occurrence of the Office ID — in this case,
AB
.
Default Service ID: This is the ID or abbreviation of the service you created in Brio (e.g.,
SIN
,INFO
, or a custom 3–4 letter/number code).
PI2 Key: Paste the entire key string exactly as it appears in the file.
4. Set your environment
Ensure the environment is set to “Production”.
If it's set to something else (e.g., Sandbox or Test), switch it manually to Production.
Once you've filled in all the fields, Paperbox will validate the connection and complete the setup.

After these steps, simply follow the next steps and choose a name for your Inbox. Your Paperbox environment will be ready to automatically read emails, extract key information, and sync documents into Brio.
