Who processed a document?

A quick guide to understand and find out why a document was incorrectly linked or processed.

If you think your document was incorrectly linked or processed and want to understand why this happend, there is a easy way to find out.

Important: The History section in Paperbox is only visible for users with Admin rights. If you don't see this section you will need to reach out to your team leader or administrator to grant you access.

First, ensure you have the email details handy (subject line, file number, etc.). Then, navigate to the History section in Paperbox.

In the History section, you can find all documents handled by Paperbox or users in the platform. It's not only a great way to double-check what happened but also to better understand which types of documents could be automated. Learn more about this here.

Use the search bar (1) to find a specific document by typing the subject, recipient, sender, etc. You can also use additional filtering options such as including all actions (Approved, Deleted, Bounced), including or excluding specific tags, or searching within a specific date range to reduce the volume. (recommended) You can also use the Document Types (2) as quick filters to single out certain documents.

After searching, results will appear, and you'll immediately see which user approved each document. In the example below, you can see that the first two results were manually approved by the user Maarten, and the last one was automatically approved by Paperbox.

Based on what exactly is wrong with the document you can either reach out to the person that approved the document, or you click on the document and see the finer details.

If you believe it should have been labeled or categorized differently from a Paperbox perspective, you can always contact our support team or discuss the categorization structure with your Success Manager.
