User roles determine what actions individuals can perform and which parts of the Paperbox application they can access. By managing these roles effectively, you ensure that each team member has the appropriate level of access—supporting both security and operational efficiency.

In this article, we’ll walk you through the key differences between the two specific user roles within Paperbox as well as how to adjust a role for a specific user.

Available User Roles

  • Paperbox User

  • Paperbox Admin User

Paperbox User

By default everyone that is invited to your Paperbox environment is a regular Paperbox User. This a standard role designed for day-to-day operations within the platform.

This user role has access to

  • Inbox (Administrators need to give access to the specific Inbox)

  • Insights

💡 Ideal for team members handling operational workloads.

Paperbox Admin User

A Paperbox admin has elevated permissions that allow them to manage user activity and configure account settings. Admins are responsible for assigning the appropriate inbox access when inviting new users to the platform, ensuring each user has access to the right information from the start.

This user role has access to

  • All Inboxes

  • Insights

  • Archive

  • Workspace Settings

💡 Best suited for team leaders, IT managers, or organizational administrators.

Managing a User Role

To update a user’s role, start by navigating to your workspace settings—click your profile picture in the top-right corner of the screen. Then, select the people icon on the left-hand menu to view the list of active users.

You can scroll through the list or use the search bar to quickly find a specific user. To grant admin access, simply check the box next to the user’s name. This will automatically give them access to the Archive and any additional inboxes you select.

To revert an admin back to a standard user, uncheck the box—this will remove their elevated access.

In addition to managing user roles, you can perform other user management actions from the overview screen:

  • Reset a user's password by clicking the key icon next to their name. This will trigger a password reset email, allowing the user to securely set a new password and regain access to their account.

  • Remove a user by clicking the trash bin icon. This action will immediately delete the user from the Paperbox workspace, revoking all access to the platform.

⚠️ Deleting a user is permanent and cannot be undone. Make sure the user no longer needs access before proceeding.
